Team management is available on the Agency plan only. Other plans are single-user. Compare plans →
Adding team members
Navigate to Settings → Team and click Invite Member. Enter the team member's email address and select a role. They'll receive an email invitation to join your Ergate workspace.
You can have up to 5 team members on the Agency plan (including the account owner).
Roles
Each team member is assigned one of three roles:
Owner
- Full access to all features and settings
- Can manage billing, branding, and team membership
- Can create, edit, and delete any proposal
- Only one owner per workspace (the account creator)
Admin
- Can create, edit, and delete proposals
- Can manage clients and templates
- Can invite and remove members (but not the owner)
- Cannot change billing or branding settings
Member
- Can create and edit their own proposals
- Can view all clients and templates
- Cannot delete proposals created by others
- Cannot access Settings pages (except their own profile)
Use the Admin role for senior team members who need to manage the workspace. Use the Member role for freelancers or contractors who should only work on their own proposals.
Managing members
From the Team settings page, you can:
- Change roles — click the role badge next to any member to change it
- Remove members — click the remove button to revoke their access immediately
- Resend invitations — if someone hasn't accepted yet, resend the invite email
Shared resources
All team members share the workspace's:
- Client list — everyone can see and use all clients
- Templates — all templates are available to all members
- Proposal limit — the 200 proposals/month limit is shared across the team
The monthly proposal limit is shared, not per member. If your team of 5 each creates 40 proposals, you'll hit the 200 limit. Monitor usage in Settings → Billing.
Proposals and ownership
Each proposal has an owner — the person who created it. Owners and Admins can edit any proposal. Members can only edit proposals they created.
When a team member is removed, their proposals remain in the workspace and are reassigned to the account owner.
