What you'll learn
- How to generate a share link
- How to set a password and expiry date
- How view tracking works
Generate a share link
When your proposal is ready, click the Share button in the proposal toolbar. Ergate generates a unique public URL that your client can open in any browser — no account required.
Click Copy Link to copy the URL to your clipboard, ready to paste into an email, message, or anywhere else.
Sharing features (password protection, expiry, and view tracking) require a Solo plan or higher. Free plan users can still generate a basic share link.
Password protection
For sensitive proposals, toggle on Require Password and enter a password. When your client opens the link, they'll see a password prompt before the proposal content loads.
Share the password with your client through a separate channel (e.g., text message or phone call) for better security.
Expiry date
Set an optional expiry date to automatically disable the share link after a certain date. This is useful for:
- Time-sensitive proposals with a deadline
- Creating urgency for the client to review
- Ensuring outdated proposals aren't accessible indefinitely
After the expiry date, anyone visiting the link sees a message that the proposal is no longer available.
View tracking
Once your proposal is shared, the View Tracking section shows you:
- Whether the client has opened the link — see at a glance if your proposal has been viewed
- Total view count — how many times the link has been opened
- Timestamps — when each view occurred
This information helps you time your follow-ups. If a client viewed your proposal three days ago but hasn't responded, that's a good signal to send a gentle check-in.
View tracking updates in real time on your proposal dashboard. You'll also see the proposal status change from "Sent" to "Viewed" automatically when the client first opens it.
Managing shared links
You can manage your share link at any time:
- Regenerate — create a new URL (the old one stops working)
- Disable — turn off sharing without deleting the link
- Update password — change or remove the password
- Change expiry — extend or shorten the availability window
Sharing vs. exporting
Sharing gives your client an interactive web view with automatic tracking. If your client prefers a downloadable file, use the export feature instead.
