Why manage clients?
Linking proposals to clients gives you powerful insights over time. You can track your win rate per client, see total revenue, and quickly find all proposals associated with a company. It also saves time — once a client is created, you can select them from a dropdown when starting a new proposal.
Create a client
From the Clients page, click New Client. You can also create a client on the fly when creating a proposal — just click New Client in the client selector.
Fill in the client details:
- Name — the client's full name or primary contact name (required)
- Email — their email address for reference
- Company — the organization they represent
- Website — the company or project URL
- Phone — a contact number
- Industry — helps the AI tailor proposal language
- Notes — freeform space for anything else (relationship context, preferences, past project history)
Setting the client's industry helps Ergate produce more relevant proposals. The AI adjusts terminology, deliverable structure, and tone based on whether you're writing for a tech startup, a law firm, or a nonprofit.
Edit a client
Click any client in your list to open their profile. Update any field and changes save automatically. You can also archive clients you no longer work with to keep your active list clean.
Client analytics
Each client profile shows key metrics:
- Total proposals — how many proposals you've created for this client
- Win rate — the percentage of proposals marked as Won
- Total revenue — sum of pricing from Won proposals
- Last proposal — when you last sent them a proposal
These numbers update automatically as you mark proposals as Won or Lost.
Plan limits

If you reach your client limit, you can upgrade your plan or archive inactive clients to free up slots.
Linking proposals
When you create a new proposal, select the client from the dropdown. All proposals linked to a client appear in that client's profile, making it easy to review your history and track the relationship over time.
