Export formats
Ergate supports two export formats so you can deliver proposals however your clients prefer.
PDF export
Available on all plans, including Free. Click the Export PDF button in the proposal toolbar to generate a downloadable PDF.
PDF exports are ideal for:
- Sending as an email attachment
- Printing for in-person meetings
- Archiving finalized proposals
DOCX export
Available on Solo, Pro, and Agency plans. Click the Export DOCX button to generate a Word-compatible document.
DOCX exports are useful when:
- Your client needs to add comments or redline changes
- You want to make further formatting adjustments in Word or Google Docs
- The client's procurement process requires an editable document
If you're on the Free plan and need DOCX export, you can upgrade to Solo to unlock it along with other features like view tracking and proposal scoring.
What's included
Both PDF and DOCX exports contain the complete proposal:
- Proposal title and client name
- Full proposal text — the content from the editor, formatted with headings, lists, and styling
- Pricing table — all line items with quantities, rates, and the total (using whichever estimate level you last selected)
- Timeline — project phases with durations
- Your branding — if you're on a Pro or Agency plan with custom branding configured, your logo, brand color, and footer text appear on the exported document
Export tips
Before exporting, double-check which estimate level is selected in the Pricing tab (Low, Mid, or High). The export uses the currently active level.
- Review before exporting — check your proposal score and address any high-impact suggestions first
- Use the right format — PDF for final delivery, DOCX when collaboration is needed
- Name your file — the exported file uses your proposal title as the filename, so make sure the title is clear and professional
Sharing vs. exporting
Exporting gives you a file to send manually. If you'd rather send a link, use the sharing feature instead — it includes view tracking so you know when your client opens it.
